🌟 About our Role (Hybrid, not fully remote)
We are looking for a hybrid Executive Assistant to support our CEO. This position plays an integral role in the success of our company by supporting our founder. We're looking for someone who excels in an administrative and organizational capacity and is located in the San Francisco Bay Area.
🚀 You will...
🏆 Work in person with our CEO at his home office on a regular basis (at least weekly), and coordinate and attend meetings with San Francisco-based teammates at least monthly.
📅 Manage all aspects of the CEO's calendar, coordinating internal meetings and external engagements.
🤝 Identify the CEO's personal and professional needs and manage To-Do-List, facilitating introductions within and outside the CEO’s network. Ensure CEO's personal time is well-maintained.
🗣️ Manage the CEO's personal tasks including but not limited to medical visits, travel, personal events & relationship management.
📝 Collaborate with the CEO and team members to create meeting agendas and develop critical action items and next steps.
📌 Attend key meetings alongside the CEO, and efficiently track follow-ups and deliverables.
🗂️ Organize and plan internal and external meetings.
✈️ Coordinate all domestic and international travel while managing corresponding expense reporting requirements.

👔 Experienced: You've supported VP/C-Level executives for at least 4 years in a personal and executive capacity. James, our CEO, is looking for an assistant who will push back and say "Do you really need this additional meeting this week, given that you've said ___ is your priority?" He'd like this to be a long-term relationship, with someone who can come to understand the ways he can be more effective personally and professionally through this next stage of growth.
🤝 Professional: Able to demonstrate expert professionalism, discretion, and utmost confidentiality.
🗣️ Communicative: Able to interact effectively with individuals at all levels of the organization and capable of a high level of prioritization and communication. This includes understanding the political dynamics between James and external third parties.
📏 Proactive: Exhibit a strong bias to action and hold the VP/C-Level person accountable. You will be reporting to James directly, who does not excel in organizational skills. Therefore, you must be a self-starter and be creative.
🤝 Empathetic: Possess exceptional collaboration and active listening skills. James needs someone who can understand what he requires to be successful. On some days, that includes asking whether he's remembered to eat in the last 24 hours. On other days, that includes auditing his calendar so he can focus on ___ strategic plan. On other days, that includes working through the list of company priorities and helping him radically delegate to others.
📝 Organized: Execute administrative activities with precision, paying close attention to detail, organization, and process. This is an aspect of executive engagement that James himself lacks, so he is looking for support.
