About This Opportunity
The Events Coordinator is a crucial role in supporting high-profile, internal, and customer-facing events for the Align Technology Japan team. Our perfect candidate will have a passion for events, logistics, and customer experience, with impeccable attention to detail and a willingness to learn. The ideal candidate will be highly organized, able to work independently, relentlessly detail-oriented, and excited to take on a support role in a well-established and highly regarded marketing and clinical team.
Key responsibilities for this role will include timeline development and management, logistics planning, hotel and vendor management, on-site management, and anything else as required for the project. He/She will own small- to mid-size events in their entirety as assigned and take on support roles in larger programs as needed. He/She will also be responsible project-specific administrative duties including processing purchase orders and payments, shipping, supply management, and staff scheduling.
This position is highly cross-functional and will require strong interpersonal, negotiation, and business skills; reports to Japanese Marketing Associate Director, and works closely with Align’s sales, finance, and executive teams. Relentless execution and sustained excellence will be key indicators of success in this role.
In this role, you will…
- Coordinate event logistics from start to finish for clinical events and tradeshows that support overall business objectives.
- Research new vendors, potential partners, organize contacts in an internal database
- Serves as point of contact for all event vendors pertaining to event or project campaign; Able to negotiate terms and rates for a contract with guidance from Marketing Manager.
- Oversee registration processes for events, create registration links, track and provide daily registration reporting, and deliver post-event attendee assessment.
- Manage inventory of all event-related materials, print collateral needed at each event, and pack and send shipments for events.
- Travel to and execute setup and teardown for events/tradeshows.
- Collect internal and external feedback, summarize post-event survey results.
- Create and maintain event/awards calendar and ensure timely execution.
- Track event expenditures, submit all payments for processing, and create total event budget compilation
- Supports Marketing Manager in operational and administrative functions to ensure specific projects are delivered efficiently
- Work with regional team and local sales, clinical support team on content creation, including white papers, e-DM, brochures, catalog, video, and other collateral.
- Support Marketing Manager to work with social media on creating online and offline brand-building content for the local market.
- Liaise with the agency to ensure production for quality, cost control, and timely delivery, propose and source new agency with new solutions if necessary
- Contributes to team effort by accomplishing related results as needed
In this role, you’ll need …
- Education, Experience & Qualifications
- College/University degree with 2-3 years experience in related position
- Experience working in fast-paced and changing environment/culture
- Experience working in the dental industry, healthcare, medical device industry would be a plus, but not must
Other skills
- Fluent English (spoken, written, reading) and Japanese
- With a good planner, teamwork spirit, and forward-thinking personality
- With good communication capability to external customers, vendors/agencies, internal colleagues.
- High level of Excel, Word, and Powerpoint skills. Good presentation and data analysis skill
- Able to travel domestically and work off-site
