Glowing is looking to hire an Executive Assistant reporting and working closely with the CEO, the core responsibility of this role is to take away as much tactical work from the CEO’s plate as possible to free up time and energy - this role is being the 3rd eye, arm and leg for the CEO. Trust and judgment is the foundation for everything in this role.

The ideal candidate will have at least 7 years experience as an Executive Assistant for the C-suite and/or Chief of Staff. Considered to be in the Top 10% in his/her area (and can explain how/why), the candidate is seeking progressive challenges and can be extremely committed and loyal. With natural curiosity and innate drive for actions, candidate has passion and ability to learn rapidly, has a calm and assuring presence under extreme volatility and stress. **What You’ll Do

Executive Assistant**

  • Take meeting minutes with and w/o CEO, and drive next step/actions
  • Manage CEO’s personal and business calendars
  • Draft emails for CEO, from bi-monthly Investor Updates to customer and partner replies
  • As needed, represent the CEO with client, partner and/or team meetings
  • Manage and execute ad hoc tasks assigned by CEO (including 10% personal tasks)
  • Unabashed to voice any issue and propose solutions

Operations

  • Manage weekly executive meeting
  • Systematize, documentize, organize our growth chaos
  • In coordination with our Director of Client Success, manage our external communication systems (phone, chat, email)
  • Onboarding/off-boarding team members
  • Assist with vendor/partner negotiations

Cultural Ambassador

  • Pro-actively recognize and value team members (ex: birthdays to holiday gifts etc)
  • Ensure ESAT surveys are administered recurrently and reported on
  • Plan and execute on culture building events that drive better ESAT and ensure leadership is taking appropriate action in constant improvement
  • Plan and manage end-to-end team meetings and offsites (remote and in-person), which includes assisting as needed with international travel

Financial Management

  • Responsible for all documents (contracts, addendums, NDA’s, etc) new contracts, drafting, sending and documenting fully executed
  • Responsible for on-time A/R management
  • Expense reconciliation
  • Manage ARR/MRR reporting

Key Experience / Skills

  • 7+ years experience in as an Executive Assistant for the C-suite and/or Chief of Staff
  • Extremely detail-oriented
  • Superb ability to influence people, in-person and remotely, without authority
  • General presence creates a feeling of warmth and confidence
  • Excellent professional communication skills - well spoken, well written (including and especially emails, and meeting minutes)
  • Excellent market research skills
  • Experience with onboarding, hiring and human resource management
  • Experience servicing to a “luxury” and high discerning audiences
  • Familiar with travel booking hacks (ex: airfare, hotels, etc)
  • Confident with Google Suite (Docs, Sheets, Slides)
  • Comfortable with Microsoft Office Suite (mainly Word and Excel)
  • Loves the hustle of a startup environment
  • Experience working with distributed teams
  • Experience within a B2B organization
  • Experience within a SAAS startup
  • BS/MS degree is a plus
  • Experience with EOS and ninety.io is a plus
  • Experience with hospitality is plus

Location: Based in Las Vegas, U.S.A. (where CEO is located), but work hybrid.
