Your role:
We are looking for a dedicated and mission driven individual to support the CEO and potentially other executives at Living Carbon. This role will coordinate and manage the CEO’s scheduling and travel, prepare and organize meeting pre-reads and agendas, and assist with planning of internal and external events.
The ideal candidate has excellent time management and organizational skills and thrives in a fast-paced environment. While organizational skills will be crucial for successful candidates in this role, we are also looking for someone with a strong interest in Living Carbon’s mission and developing a deep understanding of the organization’s strategic priorities to be able to help the CEO with time and priority management.
Your responsibilities:
- Provide complex calendar and travel support for the CEO and potentially other members of the Living Carbon team
- Manage the CEO’s inbox with ability to quickly understand the context and priority level of messages, paying careful attention to the sensitivity level of information
- Make recommendations to your executive(s) with regard to time management, prioritization, delegation, and organization
- Organize and plan team meetings and off-sites by assisting with logistics and planning, production of materials and pre-reads, taking notes, and tracking action items
- Exercise discretion in committing the time of your executive(s) and evaluating their needs
- Maintain context of the ever evolving climate tech space and the major stakeholders for Living Carbon
- Plan dinners and events for influential climate investors and company leaders
- Research topics and bios for upcoming events and meetings with key stakeholders
- Draft correspondence between the external parties and company executives
- Optimize the CEO’s time through occasional support with errands
- Desire to help with miscellaneous projects in the operations department
- Ability to mentally model the thought process, desires and decision making of the executive team
Requirements and qualifications:
- Incredibly organized, with superb attention to detail and a strong ability to execute
- Excellent with time management and able to quickly shift tasks and priorities as needed
- Communicate, perform, and react well under pressure or ambiguity
- Excellent written and verbal communication skills and skilled in giving and receiving feedback
- Enjoy optimizing processes to make them more efficient
- Adept at handling sensitive information and situations with care and confidence
- Motivated by Living Carbon’s mission and able to bring creative ideas to build the team culture
- 3+ years of experience in executive support, office management, and/or operations management
- Bachelor’s degree strongly preferred
- Proficient in Apple / GSuite / Microsoft Office software applications
