Provides the full spectrum of secretarial support to the Group CEO & COO.
Serves as the primary contact to the Group CEO & COO. Conveys issues to the Group CEO & COO as appropriate and constantly doing follow-ups on actions needed.
Deals with the Group CEO & COO on reports and key stakeholders to ensure agendas, deadlines and deliverables are met
Handles the Group CEO & COO travel arrangements (flight tickets, hotel bookings, passport matters, claims, refunds etc.) and well as some personal matters (when needed)
Scheduling meetings into the calendar accordingly for the Group CEO & COO and reminding him as well as attendees on the meetings beforehand.
Assists in preparing and compiling meeting agendas as well as preparing official letters, board papers and meeting presentations for the Group CEO & COO; this relates to all presentation materials for the Group CEO & COO using Power Point and maintains a presentation file/archive.
Applies substantial knowledge in the coordination of sensitive reports and analysis (e.g. budgets, Board papers and highly confidential correspondences).
Handles all matters proactively, expeditiously and follows-through to ensure issues that requires completion by the Group CEO & COO are successfully settled and closed.
Organises and maintains the Group CEO & COO documents, records, and files, including preparing expenses listing and maintaining receipts.
Need to always be on standby and ready to serve the Group CEO & COO at all times during working hours.
To accommodate all the Group CEO & COO needs in relates to their needs in the office.
You would be willing to assist in various tasks to help out the HR Department (this will be required as the Personal Assistant‘s workload is light);
You have a working knowledge of Microsoft Word, Excel and PowerPoint
