As an all-round Administration Officer at our Singapore office, you play a crucial role in the day-to-day operations of one of our local offices. You are responsible for a wide range of diverse tasks, for which you work closely together with the HR, Back Office and Finance & Admin teams of the head office. You are a dynamic, efficient self-starter who can manage multiple tasks with accuracy and within tight timelines. You handle sensitive and confidential information in a professional manner.

------- responsibilities -------
visitor and customer reception, including professionally answering and filtering phone calls, replying to correspondence and emails, etc. managing the agenda and calendar of our Head of Operations and assisting with the day-to-day operations of the office, including following up on office maintenance administrative duties including supporting requests from the Finance department, coordinating deliveries, organizing mail and maintaining and ordering office supplies assisting with order entry, invoice processing and order processing managing incoming and outgoing parcels ensuring that diverse HR records are properly maintained and managed, in close cooperation with the HR team in Belgium (e.g. personnel files, employment passes, employee insurances, etc.) supporting the HR team with the onboarding and offboarding of employees assisting the HR team with local recruitment initiatives and the follow-up of candidates for the Singapore office (posting vacancies, subscribing for job fairs, etc.) calculating the travel allowances and preparing the monthly payroll assisting the HR team with the follow-up of training requests. assisting the Back Office team with travel arrangements for employees and clients organizing internal and external meetings, appointments, skype calls, etc. supporting the activities of the Sales team, for example by assisting with the processing of incoming orders
